Scope of this guidance
This guide prepares operational data for Pole. It does not certify a cadastral survey, resolve uncertain title, or replace review by an appropriately licensed survey professional.
Step 1 of 4
Record the coordinate source
A coordinate pair has no safe operational meaning without its reference context. Pole’s survey workflow needs source UTM geometry with an explicit datum and UTM zone before preparing WGS84 longitude and latitude for exchange.
- Record source file, survey date, responsible survey professional, units, axis order, datum, UTM zone, and hemisphere.
- Keep the original source vertices unchanged alongside any derived map geometry.
- Quarantine MINNA or other uncertain source data when the required transformation operation is not established; do not relabel it as WGS84.
Step 2 of 4
Prepare estate and plot boundaries
Estate and plot geometry should use stable record identities and consistent plot numbers. Geometry must have enough valid vertices, and each plot should retain the estate context used for containment and conflict checks.
- Reconcile estate name and boundary revision before attaching plots.
- Standardize plot numbers across the survey source, operational register, allocation record, and finance record.
- Identify missing geometry, duplicate plot numbers, invalid rings, and plots with no resolved estate before submission.
Step 3 of 4
Run spatial preflight checks
Review the source geometry in the record, not only the shape on screen. Checks can include coordinate conversion, geometry validity, estate containment, plot-number conflicts, and overlap with the plots under review.
- Confirm the source datum and zone can be resolved by the registered coordinate service.
- Review containment and overlap results with the affected plot numbers and geometry context.
- Treat unavailable source geometry or an incomplete conflict scope as a blocking exception, not as a clean result.
Step 4 of 4
Handoff for approval and field review
A map preview is not a committed spatial revision. Keep the draft, validation findings, reviewer decision, and any corrected source together so a later user can explain which geometry became current.
- Submit the source boundary and its reference metadata with the proposed estate or plot change.
- Compare field observations with the mapped record without treating device location as survey-grade evidence.
- After approval, verify the current revision, derived geometry, and affected plot selection in both map and record views.
Final checks
Confirm these points before treating the workflow review as complete.
- Datum, UTM zone, hemisphere, units, axis order, and source provenance are explicit.
- Source geometry is retained separately from derived WGS84 interchange geometry.
- Unknown transformations and incomplete conflict scopes remain blocked or quarantined.
- The approved revision can be identified from both map and non-map records.
